Manage Contacts
All Contacts is your full contact list. Search it, filter it down, open any contact’s profile, and act on many contacts at once with bulk actions.
How it works
- 1
Find
Search by name, phone, email or company.
- 2
Narrow
Filter by group, status, dates, import batch, DNC and more.
- 3
Open
Click a contact to see details, notes, calls and link clicks.
- 4
Act
Select contacts to tag, group, text, mark as DNC or delete them.
STEP 01
Open All Contacts and search
Go to Contacts. The All Contacts tab lists everyone, with a count bar on top and a search box in the header.
- Search matches first and last name, email, company and phone number. Partial numbers work.
- The bar shows Total Contacts, Groups, Subscribed and Unsubscribed.
- Click Subscribed or Unsubscribed to filter the list to those contacts. Click again to clear it.
STEP 02
Filter the list
Click the Filters button next to the search box. Set what you need in the Filter contacts panel, then click Apply filters.
- Filter by Group (or No groups), Last contacted, Created date and Import batch.
- More filters cover Status, DNC, Bounced, Phone validation and Tag.
- Each active filter shows as a chip above the list. Remove one chip, or click Clear all.
- Reset all in the panel clears every filter at once.
STEP 03
Sort the list and save views
Use the sort menu for quick presets, or click a column header. Save filter combinations you use often as views.
- Sort presets: Newest first, Name A–Z, Last contacted and Created (oldest).
- Open Views and choose Save current view… to name the current filters and sort.
- Saved views are stored in this browser, up to 20 of them.
- Show 50, 100, 250 or 1,000 contacts per page.
STEP 04
Open a contact’s profile
Click a contact to open the Contact Profile panel on the right. It has four tabs: Details, Notes, Calls and Activity.
- Details shows the contact’s groups and tags, contact information, custom fields and statistics.
- Add or remove groups right from the profile with Add to group….
- Notes holds your own notes and call transcriptions. Activity lists tracked link clicks.
- Click Call at the bottom to start a call to the contact.
STEP 05
Edit a contact or use the row menu
Click Edit in the profile to change name, email, company, custom fields and phone numbers. For quick fixes, use the menu at the end of a row.
- Row menu: Edit, Message, Call, Add to group, Add tag, Add to DNC and Delete.
- Edit in the row menu lets you change first name, last name, phone and email in place, then click Save.
- A contact can have several numbers. In the profile, add a phone and choose which one is primary.
- Message opens the conversation with that contact in Messages.
STEP 06
Act on many contacts with bulk actions
Tick the checkboxes next to contacts. A bar appears with the count selected and the bulk actions.
- Select page picks everyone on the page. Select all matching picks everyone that fits your filters, up to 5,000.
- Add tags and Add to group work on the whole selection at once.
- Text blast saves the selection as a new group and opens Text Blaster with it selected.
- Add to DNC and Delete ask you to confirm first. Deleting a contact can’t be undone.
Pro tips
Get more out of Manage Contacts
Add one contact fast
Click Add Contact in the header. Enter the phone in +1 format, like +15125550134, and add more numbers with + Add another phone.
Track the source
When you add a contact by hand, fill in Source, like Website or Referral, so you know where they came from.
Label with tags
Use Add tags in bulk or Add tag from the row menu, then filter by Tag. See the Contact Tags guide for more.
Prefer DNC to delete
If someone asks not to be texted, use Add to DNC. Deleting removes the contact and you can’t get it back.
Check a new import
Filter by Import batch to see only the contacts from one import and spot anything that looks wrong.
Work big lists in pages
Bulk selection tops out at 5,000 contacts. Narrow your filters if you need to act on more, then repeat.
Common questions
What can I search for in Contacts?
Names, email addresses, company names and phone numbers. Typing part of a number, like the last few digits, also works.
How do I edit a contact?
Open the contact and click Edit in Contact Information, or choose Edit from the row menu to change name, phone and email in place.
How many contacts can I select at once?
Up to 5,000. Use Select all matching to pick everyone that fits your filters, or Select page for the current page.
Are my saved views shared with my team?
No. Saved views are stored in your browser, so they show up only on the device where you saved them.
