Manage Your Inbox
Messages is where every text conversation lives. Find the right thread fast, reply from the right number, and use the right-click menu and bulk select to keep the inbox tidy.
How it works
- 1
Find
Search, then narrow the list with filters for status, group, tag or campaign.
- 2
Reply
Open a conversation and text back from your chosen messaging number.
- 3
Act on one
Right-click a row to mark it read, archive it, tag it and more.
- 4
Act on many
Turn on bulk select to archive, tag, group or reply to several at once.
STEP 01
Find a conversation
Open Messages from the main menu. The list on the left shows your conversations, most recent message first.
- Type in Search messages... and use the scope menu to search All, Message, Contact name or Contact number.
- Use the filter chips: All, Chat (two-way threads where the contact has replied), Unread, Archived, and the circle icon for Stopped.
- Narrow further with Filter by group, Filter by tag and Filter by campaign.
- Bold names and a colored time mean the conversation has unread messages.
STEP 02
Reply to a contact
Click a conversation to open it. Type in the message box at the bottom and send.
- Pick the line you’re texting from in the Messaging number menu at the top of the chat.
- Press Enter to send. Press Shift+Enter for a new line.
- Add an image, a GIF or an emoji from the icons around the message box.
- Watch the segment counter. Merge fields like {first_name} are not filled in one-to-one replies, so type the name yourself.
STEP 03
Right-click for quick actions
Right-click any conversation in the list to act on it without opening it.
- Mark as read or Mark as unread to flag a thread for later.
- Add to group, Move to group or Add tags… to organize the contact.
- Archive hides the thread from All. Find it again under Archived and choose Unarchive.
- Delete conversation asks you to confirm and can’t be undone.
STEP 04
Select many and use Bulk actions
Click the Bulk select button (the folder icon next to search) to show checkboxes on every row.
- Check rows one by one, or Shift+click to select a range.
- Select All picks every conversation in the list you’re looking at.
- Open Bulk actions to Archive selected, Delete, Mark as Stopped (DNC), Mark as Active, Add to group or Add tags….
- Right-clicking a selected row applies the menu to the whole selection.
STEP 05
Send one reply to several people
Select up to 10 conversations, then choose Send bulk reply… from Bulk actions or the right-click menu.
- Choose the From number and write the message, or insert one from Quick replies & templates.
- Tap a merge field chip such as First name to personalize each copy.
- Click Continue to preview to see each message and any that are likely to be skipped.
- Click Send…, then Send now. Every message still runs the normal compliance checks.
STEP 06
Stop texting a contact who opted out
If someone asks you to stop, mark the conversation as stopped so nobody on your team texts them again by mistake.
- Right-click the row and choose Mark as Stopped (DNC). For several at once, use Bulk actions.
- Stopping a conversation also adds the contact’s number to your Do Not Contact list.
- Stopped conversations move to the Stopped filter.
Pro tips
Get more out of Manage your inbox
Use Unread as a to-do list
Mark as unread anything you can’t answer yet. The Unread filter then shows exactly what still needs you.
Archive, don’t delete
Archive keeps the history and can be undone. Delete conversation is permanent.
Chat shows real dialogues
The Chat filter only lists threads where you texted and the contact replied, so one-way blasts stay out of the way.
Personalize bulk replies, not one-off replies
Merge fields fill in for Bulk reply. In a single conversation they’re sent exactly as typed.
Keep the right line
Check the Messaging number before you reply so the contact hears back from the number they know.
Move vs. add
Add to group keeps the contact’s other groups. Move to group takes them out of every other group first.
Common questions
How many conversations can I reply to at once?
Bulk reply sends to up to 10 selected conversations at a time. For larger audiences, use a campaign such as Text Blaster.
What does Mark as Stopped (DNC) do?
It sets the conversation to Stopped and adds the contact’s number to your Do Not Contact list, so the conversation moves to the Stopped filter.
Can I get a deleted conversation back?
No. Deleting a conversation can’t be undone. Archive it instead if you might need it later.
Why didn’t {first_name} fill in my reply?
Merge fields don’t fill in one-to-one replies. They do fill in Bulk reply once personalization is on, and in campaigns.
