How-to guide · Messaging
Quick Replies
Quick replies are saved messages you can drop into any conversation with one click. Save the answers you type over and over, then insert, tweak and send.
How it works
- 1
Type it once
Write the message in the chat box like any other reply.
- 2
Save with a name
Give it a short name so you can spot it in the list.
- 3
Insert in one click
Pick it from the ✨ panel to fill the message box.
- 4
Edit, then send
Adjust the text for this contact before you hit send.
STEP 01
Open the Quick Replies panel
Open any conversation in Messages. Click the sparkle (✨) button to the left of the message box.
- The Quick Replies panel opens above the message box.
- Your saved replies are listed with their name and a preview of the text.
- If you haven’t saved any yet, you’ll see No quick replies yet.
STEP 02
Save a message as a quick reply
Type the message in the chat box first. Then open the panel, name it and save.
- Under Save current message as quick reply, type a name in Quick reply name.
- Click Save. You’ll see Quick reply saved.
- Both a name and message text are required. Save stays grey until you have both.
- Saving doesn’t send anything. The text stays in the chat box until you send or clear it.
STEP 03
Insert a reply and send it
Click a reply in the panel. Its text goes into the message box, ready to review.
- Inserting replaces whatever is already in the message box.
- You’ll see Quick reply inserted into chat box.
- Edit the text for this contact if needed, then press Enter or click send.
STEP 04
Edit or delete a quick reply
Hover over a reply in the panel to show its pencil and trash icons.
- Click the pencil. The reply’s text loads into the message box and its name into the name field.
- Change the text or name, then click Update. Click Cancel to stop editing.
- Click the trash icon and confirm Delete this quick reply? to remove it.
STEP 05
Use quick replies in a bulk reply
Your quick replies are also available when you reply to several conversations at once.
- In Messages, select up to 10 conversations and choose Send bulk reply….
- Click Quick replies & templates and tap a reply to insert it.
- Your saved templates are listed in the same menu.
- In a bulk reply, merge fields like {first_name} fill in per contact once personalization is on.
Pro tips
Get more out of Quick replies
Name them for scanning
Short names like Hours, Directions or Pricing are easier to find than the first words of the message.
Write names in by hand
Merge fields like {first_name} aren’t filled in one-to-one replies. Leave them out, or edit the name in after you insert.
Keep them to one segment
Watch the segment counter when you write a reply. Short replies cost less every time you reuse them.
Respect the 160-character stop
If Stop manual messages at 160 characters is on in Settings → Profile, longer quick replies are cut to 160 characters when inserted.
Each teammate keeps their own
Quick replies are saved to your own login, not the whole workspace. Each teammate saves the replies they need.
Always review before sending
Inserting fills the message box but never sends on its own. Read it once, adjust it for the contact, then send.
Common questions
Can my teammates see my quick replies?
No. Quick replies are personal. Each person sees, edits and deletes only the replies they saved.
Does inserting a quick reply send it right away?
No. It fills the message box and replaces any text already there. You still choose when to send.
Can I use merge fields in a quick reply?
They only fill in when you use the reply in a bulk reply with personalization on. In a single conversation they’re sent exactly as typed.
How many quick replies can I see?
The Quick Replies panel shows up to 50 of your saved replies.
